In this post, I will share a few more real case studies where Barr Systems Barr EOM was deployed to help those companies meet their enterprise output requirements.  Enterprises who rely on Barr EOM have realized the dual benefits of reduced costs and centralized control over their distributed printing environments.  Electronic distribution and print suppression, as well as proactive monitoring and the application of business rules enable intelligent printing at the lowest possible cost.

      Use Case 1

Distributed Production Print with Centralized Control - Transportation (trucking)

      • Challenges:  Centralized control over 300 Xerox mid-range devices in 8 locations, 200,000 documents (packing lists, invoices) generated every day by both Unix hosts and a Windows-based document composition platform

      • Description:  Ensuring that printed documents are routed to the correct devices in one of eight locations is critical in this fact paced environment.  Any delays in generating the correct documents can potentially delay pickups and deliveries.  This firm wanted to have a clear view and command over all devices so they could react quickly in the event of any printing issues that occurred.  The firm desired to be able to quickly redirect print output to another appropriate and available device, as well as to facilitate reprints easily when needed.   Lastly, PDF files needed to be generated and directed to the firm’s archive and stored for two years.

      • Solution:  Barr EOM receives documents from thee Unix hosts via LPD and from the Windows-based forms package via Windows port monitors. The documents are routed based on dynamic data to the appropriate printer in one of the eight locations. The EOM Console offers control to the central administrators as well as the operators at the 8 locations. When Printers encounter issues, the operators can enable EOM’s temporary redirect feature that allows documents to Temporarily print on an alternate printer while the problem is fixed. Documents are held and retain for up to two years to allow for reprints and customer service queries.

      Use Case 2

Centralized Production Print, Electronic Document Delivery - Insurance

      • Challenge:  Insurance firm wanted to eliminate the costly and inefficient process of printing management reports on production printers and bursting the output into sections for subsequent delivery to specified end users via office mail.

      • Description:  Daily report volume was approximately 3,000 reports generated for 3,300 users.  Management reports were printed on either a Xerox 4100 EPS printer or on one of 500 network attached MFP or desktop printers.  Many reports were being printed locally for the user’s convenience rather than on the lower cost Xerox production printer.

      • Solution:  Barr EOM receives the reports files via LPD and Windows port monitors. Business rules establish bursting criteria, which enables large jobs to be divided into smaller documents based on data and on report length. The number of pages of the smaller documents determines if they are routed too the Xerox 4100 production printer or to the Barr EOM Library. Documents routed to the EOM Library are converted to PDF files that cannot be printed. Users access and use the electronic documents via a web browser interface, but local print is suppressed. If the end user is not satisfied with the electronic version and requires a hard copy of a report version, they can re-submit the document from the Library back into the Barr EOM spool for printing on the Xerox production printer.
